Production Coordinator

 

PRIMARY OBJECTIVE OF POSITION

The Production Coordinator performs a variety of production responsibilities in support of VStar shows and projects.

Work with production team on projects as assigned, including pre-production, scheduling, budgets, script transcription, and contracts for VStar touring shows, mall shows, theme parks and outside projects.

Coordinate travel and meeting arrangements for members of the production department, shops, and creative team as requested.

Perform office administrative support for production department including word processing, copying, filing, expense reports, shipping, vendor supplies.

Provide research assistance for new projects, scripts, personnel, etc.

Assemble welcome packet for new and returning cast members and replacement cast hires, including hire letter, paperwork, script and other show materials.

 

MAJOR AREAS OF ACCOUNTABILITY

Perform office administrative support for the production department, with dedicated areas of direct responsibility to include, but not limited to, word processing, copying, filing, expense reports, shipping, and vendor supplies.

Assist production department staff on projects as assigned, to include pre-production, scheduling, budgets, and contracts for VStar Entertainment Group touring shows, mall shows, theme parks and outside projects.

Participate in the preparation, transcription, dubbing, and distribution of scripts, schedules and audiovisual materials for production teams, show personnel, and outside vendors.

Assist with audition notices, direct mail, arrangements for auditions, compilation lists, audition web-site, correspondence, and circulation of audition videos and forms.

Coordinate travel arrangements for members of the production department, shops, and independent contractors as requested.

Assist production department staff with special presentations and meetings as necessary, coordinating arrangements, notices, meeting notes, conference calls, and summaries on request.

Coordinate “return to work” arrangements for all VStar Entertainment Group touring shows and projects.  Assemble welcome packet for new and returning cast members and replacement cast members, including hire letter, paperwork, script and other show materials. Under the supervision of or at the request of the Director of Production, request performer road contracts from Human Resources.

Provide research assistance for new projects, scripts, personnel, etc.

10. File and maintain production archives upon completion of projects.

Proficient in the use of Word, Excel, Outlook, PowerPoint, with willingness to learn additional software such as iMovie, Dropbox, and online databases.

Provide secondary support to the operations and booking departments as necessary.

Performs additional duties and responsibilities as requested or assigned.

ADDITIONAL PERFORMANCE CRITERIA

1-3 years in entertainment field in assistant or coordinator role      

Stage Management experience

Strong communicator               

Theatre, Event and/or Exhibit experience

Excellent attention to detail                      

Experience coordinating a project with multiple people involved

Flexibility, creativity, and commitment to assisting others                      

Proficient in Mac and PC use

Ability to perform assigned work responsibilities under minimal supervision, providing progress reports, recognizing when assistance is required, and balancing priorities in relation to workload and time availability.

Ability to perform in a manner that contributes to an overall team effort with a willingness to assist others, as workload requires and time allows.
