Box Office Manager - Ashland Productions

Ashland Productions is an award-winning community theater in Maplewood, MN, producing a slate of 4-6 feature shows and several fully staged youth productions. We are hiring a Box Office Manager in a part-time position. The person in this role will support the mission and values of Ashland Productions by providing a high level of guest service to patrons and ensuring a warm and welcoming experience.

This is a new position whose responsibilities were formerly carried out by a mix of paid house managers and a volunteer administrator. The primary areas of responsibility include event programming and ticket sales, providing outstanding customer service to patrons of Ashland events, and financial tracking, reporting, and box office operations at the theater during events. The Box Office manager reports to the Executive Director.

The Box Office Manager will manage all front-of-house operations during performances and other events scheduled at Ashland. We are looking for someone who is passionate about musical theater and delivering best-in-class customer service.

Box Office Duties:

  • Maintain Salesforce/Patron Manager information; e.g., build events and season ticket packages for the season; update patron records;

  • Proactively providing patrons with customer-centered experiences over the phone and in-person;

  • Manages the box office phone system;

  • Manage box office and ticketing operations during performance runs by facilitating ticket sales, qualifying online orders, handling exchange and donation requests, etc.;

  • Establishes ticketing and event control procedures to minimize risk to the organization;

  • Assist in audience development strategies;

  • Assist in Ashland fundraising events as needed.

Front of House Duties:

  • Schedule and assign posts for paid ticket representatives and volunteer ushers and concession/notes volunteers;

  • Train and work collaboratively with paid and volunteer event staff to ensure a positive customer service experience for all guests;

  • Procure concessions and cash change for Ashland’s concessions table and collect the weekend’s concessions and notes donations for deposit;

  • Manage the concessions and notes tables, including set-up and breakdown;

  • Reconcile and deposit cash payments received from the box office, concessions, notes and donations;

  • Open and close the house for each performance, ensuring it is clean and organized;

  • Prepare and distribute end-of-show house reports detailing any audience issues;

  • Continually evaluate current processes and practices to identify areas for improvement and advocate for change.

Other Duties:

  • Assist in Ashland fundraising events as needed;

  • Other duties as assigned.

Desired Knowledge, Skills, and Abilities:

  • 2-3 years of experience working with a Box Office and a computerized database ticketing system; SalesForce/PatronManager experience a plus, but not required;

  • Familiarity with live theater and performances;

  • Exceptional customer service skills with the ability to efficiently and effectively resolve issues in a timely manner;

  • Excellent interpersonal and communication skills, including in person and over the phone;

  • Ability to establish priorities, work independently, and proceed with objectives without supervision;

  • Ability to handle and resolve recurring problems;

  • Ability to manage confidential information;

  • Ability to lift up to 35 lbs periodically;

  • Must be willing and able to work weekends (Friday and Saturday evenings, Saturday and Sunday matinees).

Hours and Schedule:

This position is part-time and compensated at $20 per hour. Hours will vary throughout the year, with the most time required on weekends with live productions. Ashland has scheduled 24 weekends of production this season, with 3-4 performances per weekend (Friday and Saturday evenings, Saturday and Sunday matinees). It is expected that the Box Office Manager will be available for each performance in a show's run (a few exceptions may be possible for previously scheduled conflicts). The position will likely require approximately 2-4 hours of administrative work (responding to patron calls, qualifying patron orders, etc) per week. Ashland is budgeting between 450 and 550 hours annually.
