We are looking for an Office Associate to join our growing team at Project Success. Project Success is a youth development nonprofit organization that helps students connect their purpose. The Office Associate is responsible for handling the day-to-day operations of the Project Success building and office spaces, being a problem solver for staff IT and office issues, and providing administrative support for the development team and entire organization. The Office Associate plays a critical role in ensuring our spaces are organized and in good working order for the staff, students, and guests who utilize them. 

 

This role will require strong communication skills, the ability to establish and maintain effective working relationships with staff and vendors, and an appreciation of routine with the ability to pivot quickly to address new priorities or time-sensitive needs. Our ideal candidate enjoys problem-solving, takes pride in maintaining organized spaces, and appreciates their role in creating a welcoming, accessible space for our staff, students, families, and guests. 

 

This role will report to the Director of Administration and will interact with all staff, members of the Development team, and many contractors who support the upkeep of our building and office.

Building Coordination (40%): 

  • Oversee the general upkeep, maintenance, and presentation of the building spaces, completing daily walkthroughs inside and outside the building to ensure spaces are well-organized and stocked, and to identify any issues that need addressing and seek out the best method of addressing them 

  • Communicate, coordinate, and schedule with third party contractors for routine maintenance and repairs for the building, including air & heat, security, plumbing, internet, phones, electrician, snow removal, landscaping, etc. 

  • Maintain detailed digital and print files and information on key building information and files for each contractor and vendor  

  • Act as a receptionist to accept deliveries and coordinate access to the building 

  • Provide building and administrative support for events and programs at the PS building 

  • Serve as first contact for staff regarding building issues or needs, including being on call for emergencies that may arise after hours  

 

Office Coordination (40%): 

  • Maintain office supplies, cleaning supplies, apparel, and promotional items through consistent inventory checks, ordering, and stocking 

  • Routinely monitor office spaces to restock, tidy, and organize 

  • Assist employees with IT issues, submit IT tickets to IT contractor, coordinate with IT on their list for monthly onsite visits, and keep inventory of technology for office 

  • Run errands as needed to post office, bank, grocery, and supply stores 

  • Serve as first contact for staff regarding office issues or needs 

 

Administrative Support (20%): 

  • Conduct daily gift processing for the organization, in coordination with the Development team, by entering donation information into Raiser’s Edge database, and preparing, printing, and mailing acknowledgement letter to donors 

  • Provide support for annual fundraising mailings and other mailings throughout the year for volunteers, board, and partners 

  • Provide support for two major fundraising events annually, including preparation, set-up, execution, tear-down, and follow-up as assigned 

  • Assist with preparation and clean-up for meetings and events 

  • Support the Director of Administration with data entry, reports, vendor research, and other projects as needed

  • High school diploma required 

  • Bachelor’s degree preferred or 2+ years of similar experience or a combination of training, education, and experiences that provides the required knowledge and abilities (building or office coordination, administrative assistant work, IT support work, etc.) 

  • Excellent problem-solving and communication skills 

  • Tech-savvy and proficient with Microsoft Office applications, including Word, Outlook, Excel, SharePoint, with a willingness to learn new databases and software platforms 

  • Enjoys creating organized systems, both in physical and digital spaces 

  • Passion for creating a welcoming, organized, inclusive, accessible office environment 

  • Ability to effectively collaborate with individuals from a wide variety of backgrounds

  • Ability to regularly handle objects weighing up to 25 lbs., on occasion up to 50 lbs. 

  • Ability to sit and/or stand for prolonged periods, including daily movement up and down stairs and throughout office environment and at program events 

  • Must have reliable vehicle for transportation and a valid driver’s license and auto insurance

This position is a full-time, salaried exempt position, with a regular in-office schedule of 8:00AM-4:30PM, Monday-Friday. Some schedule adjustments, including coming in early or staying late, evenings, and weekends will be necessary to deal with building or office issues, or programs or events at the office that require additional administrative support. This position does not have remote work flexibility due to the nature of the job responsibilities.  

 

The compensation package includes the following: 

  • $40,000-$42,000 annual salary 

  • Generous paid time off, including 13 PTO days, 10 sick days, and 9 paid holidays
