Program Coordinator Position with Project Success, Full Time Job Opportunity

We are looking for a Program Coordinator to join our team at Project Success. Project Success is a youth development nonprofit organization that helps students connect their purpose. We work with more than 15,000 6th-12th grade students and their families in the Minneapolis School District and have more than 200,000 alumni around the world. Learn more at projectsuccess.org.  

 

Program Coordinators work on a team that hosts and executes External Programs throughout the year in the Arts, Expeditions and Certificates program areas. Program Coordinators are the main points of contact for registering students and teachers for programming via phone, email, and texting platforms. They track registrations in our Salesforce database and keep other systems up to date regarding Project Success programs. Program Coordinators prepare for and staff a variety of program events, including field trips and events that take place during the school day and on evenings and weekends, including Theater Events, Field Trips, Residencies, Musicals, Outdoor Adventures, College and Career Tours, and Institute Certificates. Program Coordinators work closely with other Project Success programs staff and with volunteer drivers, contractors, and bussing partners. 

 

This role will report to the Program Manager – Theater Experiences and will be part of the External Programs team at Project Success.  

 

This role will require strong communication skills, ability to work as a member a team, and ability to prioritize multiple ongoing projects. They must have a strong desire to engage with students and families, particularly through educational theater and expedition experiences. They must be committed to removing barriers that could prevent student and family participation in our programs. Our ideal candidate is detail-oriented and highly organized, has the desire to jump into a variety of tasks, and appreciates working collaboratively to meet shared goals.

Program Support – Execution of Events 

  • Support event planning and preparation, and execute in-person Theater, Field Trips, and In-School Residencies throughout the year including:  

  • Host students and their families at in-person events at program partner locations (Ex: Theaters, museums, performance spaces, parks, etc.), working directly with students, families, and other Project Success staff 

  • Support on-site partners including childcare workers, volunteer drivers, & partner staff 

  • Prepare all necessary supplies and materials for events and set-up at partner locations 

  • Provide transportation to and from events and childcare support as needed 

  • Support virtual events as needed  

  • Support Musicals programming throughout the year including:  

  • Provide logistical & staffing support for after-school middle school musical rehearsals  

  • Organize rides for students from schools to homes after rehearsals  

  • Support program planning and communication for students and families, as needed 

  • Prepare and run Musicals Box Office for performances 

  • Staff Expeditions & Certificate programming, including College & Career Tours, Outdoor Adventures, Institute, Global Experiences, etc. 

  • Support Program Managers and Associates in preparation for upcoming programs & events 

  • Create a safe, accessible, and inclusive environment for students, teachers, and partners  

  • Provide transportation to allow students to attend programs on an as-needed basis  

  • Track attendance of programs and complete data entry into Salesforce system 

 

Communication, Systems Administration, and Registrations 

  • Serve as the first point of contact for our main phone line and programs email  

  • Process all incoming registrations and requests for External Programs from students, family members, and teachers via phone, email, and text messaging platforms 

  • Communicate program details and COVID safety protocols with students and families 

  • Help find solutions to any accessibility or accommodation needs for students and families, including scheduling volunteer or contract drivers for transportation to programs, communicating accessibility needs to partner locations, etc. 

  • Support data-entry, ensure accuracy, and execute clean-up tasks of program data and registrations in Salesforce, Alchemer, Outlook, and other systems 

  • Complete other data projects as assigned

  • High school degree required 

  • Associates or Bachelor’s degree preferred, or 2+ years of similar experience or a combination of training, education, and experiences that provides the required knowledge and abilities 

  • 1+ years of experience working directly with students in an education, youth development, or arts environment 

  • Experience working with young people from a variety of backgrounds  

  • Strong and detail-oriented communication, listening, and organizational skills 

  • Excellent problem-solving skills 

  • Understands the importance of equity, inclusion, and cultural competency and has a strong commitment to continuous learning and incorporation of new information  

  • Tech-savvy and proficient with O365 – Outlook, Word, Excel  

  • Self-motivated, extremely reliable, ability to work with minimal instruction and supervision 

  • Spanish, Hmong, or Somali language skills are a plus

  • Ability to regularly handle objects weighing up to 25 lbs., on occasion up to 50 lbs. 

  • Ability to sit and/or stand for prolonged periods, including movement up and down stairs and throughout office environment and at program events

This position is a full-time, hourly non-exempt position, with a variable schedule based on scheduled programming. This role will require work on evenings and weekends to attend theater performances and other programs. This position will be hybrid, with many aspects of the role required to be completed at the PS office in Minneapolis and at programming sites. The compensation package includes the following: 

  • $17-19 hourly, full-time schedule of 40 hours/week
