The Office Manager is responsible for managing daily operations of the building and office spaces at Project Success, coordinating with vendors and contractors for ongoing maintenance and repairs, procuring and organizing office supplies and technology, and being a problem solver for IT and office issues with the goal of creating a safe, welcoming, and accessible environment that meets the needs of the individuals utilizing the Project Success building.

This role reports to the Director of Administration and is part of the Administrative team at Project Success.

This role will require strong communication and technology skills, the ability to establish and maintain effective working relationships with staff and vendors, and an appreciation of routine with the ability to pivot quickly to address new priorities or time-sensitive needs. Core Job Responsibilities

Building and Office Management

  • Conduct multiple walkthroughs daily to maintain general upkeep and presentation of interior and exterior spaces
  • Manage building and office vendor and contractor relationships and coordinate for routine inspections, maintenance, and repairs
  • Ensure a comfortable, safe, accessible, and welcoming office environment
  • Seek timely solutions and repairs for building and office issues
  • Maintain safety and security of building through door access schedules, key and keycard access and lists, and emergency safety plans
  • Manage digital and print files for building, office, and vendor information and ensure staff have relevant information for their respective roles
  • Manage deliveries to the building and act as a reception for guests
  • Serve as first contact for staff regarding office and building related questions and needs
  • Provide support for building-related issues on evenings and weekends as needed
  • Manage booking systems for spaces and coordinate with staff to provide information and support for events and programs taking place at building

Supplies & Administrative Management

  • Order, stock, and organize general office supplies and supplies for building maintenance, upkeep, and cleaning
  • Manage and organize inventories of PS merchandise and technology items
  • Order supplies for specific programs, teams, and events upon request
  • Assist with all-staff and other administrative meetings coordination, preparation, and clean-up
  • Run errands to bank, post office, retail stores, etc.
  • Provide support for major organizational events, mailings, and other projects, as assigned

IT Management

  • Manage monthly IT support hours, solving IT issues internally when possible and engaging IT remote support when necessary
  • Coordinate with IT regarding monthly on-site support and remote support as needed
  • Manage the set-up of employee workstations and technology

Education, Experience, and Skills

  • Bachelor’s degree or 4+ years of similar experience (or a combination of training, education, and experience that provides the required knowledge and abilities)
  • 4+ years experience in administrative, building, IT, reception, or office roles
  • Excellent problem-solving and communication skills, written and verbal
  • Tech-savvy and proficient with O365 - PowerPoint, Excel, Word, Outlook
  • Takes pride in maintaining organized and welcoming working spaces
  • Ability to establish and maintain effective working relationships with staff and vendors
  • Appreciative of routine with flexibility to assist with time-sensitive needs
  • Self-motivated, extremely reliable, ability to work with minimal instruction and supervision


Job Requirements

  • Must have a valid driver’s license and auto insurance
  • Ability to sit and/or stand for prolonged periods, including movement up and down stairs and throughout office environment and at events
  • Must be able to lift 25 pounds consistently, and up to 50 pounds on occasion
  • Must be fully vaccinated against COVID-19 or be granted an accommodation prior to beginning employment


Position Details

This position is a full-time, salaried exempt position, with a regular in-office schedule Monday-Friday. Some schedule adjustments, including coming in early or staying late, evenings, and weekends will be necessary to deal with building or office issues, or programs or events at the office that require additional administrative support. This position does not have remote work flexibility due to the nature of the job responsibilities.

The compensation package includes the following:

  • $50,000-$55,000 annual salary
  • Generous paid time off
