Blue Water Theatre Company is a youth-centered performing arts organization in Wayzata, MN, dedicated to providing young people with engaging, high-quality theatre experiences. Through our productions, technical theatre programs, and educational initiatives, we foster creativity, collaboration, and personal growth among students aged 8-21.
Position Summary
The Office Manager will play a key role in ensuring the smooth operation of Blue Water Theatre Company by managing administrative tasks, supporting the executive team, and providing a welcoming environment for students, parents, staff, and visitors. This part-time position is ideal for a detail-oriented, organized individual with a passion for the arts and a commitment to supporting youth development.
Responsibilities
Administrative Support
- Serve as the primary point of contact for inquiries via phone, email, and in-person visits.
- Manage daily office operations, including filing, mail handling, and office supply maintenance.
- Organize and update records, documents, and program schedules.
- Maintain the theatre’s calendar, coordinating with staff and production teams to manage scheduling and room reservations.
Financial & Record Keeping
- Assist with basic bookkeeping tasks, including processing invoices, tracking expenses, and recording donations.
- Coordinate with accounting to ensure timely processing of payments and receipts.
- Support payroll and timesheet tracking for staff and volunteers as needed.
- Assist with tasks related to annual tax filing
Program & Event Support
- Assist with the registration process for programs, workshops, and performances, including managing participant information and fees.
-Administer independent contractor service agreements, initiate background checks, and assist with onboarding of new contractors, board members, and volunteers
- Coordinate volunteer efforts, assisting with scheduling and communication for events, rehearsals, and productions.
- Support the planning and logistics for special events, fundraisers, and community engagement activities.
Communications & Marketing
- Collaborate on communication strategies, including the creation and distribution of newsletters, emails, and event reminders.
- Update website content and social media channels with upcoming programs, performance information, and other relevant news.
- Assist with promotional materials, including flyers, brochures, and signage for events.
Qualifications
- Proven experience in office management, administration, or a related field (nonprofit or theatre experience is a plus).
- Strong organizational and multitasking skills, with a high level of attention to detail.
- Excellent communication skills, both written and verbal, with a customer-service orientation.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); familiarity with Google Workspace and QuickBooks is a plus.
- Experience with social media platforms and website content management (WordPress experience is an asset).
- Ability to work independently and collaboratively in a dynamic, creative environment.
- Passion for the arts, education, and working with youth.
